Digitalization of HSE at IMI: How Gemba and DRS Applications Simplified Safety Processes and Engaged Employees

The digitalization of HSE processes at IMI, with the help of the Gemba and DRS applications, has simplified hazard reporting, increased employee engagement, and saved both time and costs. HSE Manager Tomáš Kozílek appreciates the seamless integration of the applications into the Microsoft environment, which enabled a smooth transition to a digital solution, enhancing safety and improving the company’s safety culture.

Helping to digitalize processes at IMI plc was a significant challenge for us. This British company, which employs over 10,000 people in more than 50 countries, is quite a large undertaking. But for us at Evenaut, it was far from impossible. With our Gemba and DRS (Digital Reception System) applications, we transformed a highly complicated and complex HSE process into a solution that all employees can manage, and newly onboarded staff can easily be trained on. This brings considerable savings in both time and costs for the company. HSE Manager Tomáš Kozílek proposed a tailored digital solution that allowed full integration into existing systems and significantly streamlined the processes. But what specific benefits does he see from this solution?

What inspired you to start the digitalization of processes in your company?

The digitalization of HSE is crucial for easier verification of the entire process’s functionality. We can monitor everything almost in real-time, the outputs are clear, and a huge benefit is the ability to familiarize external companies with the risks within our organization. A digital solution in this area has undoubtedly been a significant step in accelerating processes and, of course, in protecting the environment.

What specific challenges were you aiming to overcome by implementing the DRS and Gemba applications?

Near-miss and hazard reporting is one of the most important tools for preventing injuries and accidents. Our biggest challenge was engaging our employees in the reporting process and obtaining feedback in any form. Previously, this was very difficult, but with the implementation of the Gemba application, the process became much simpler. Employees began actively participating and reporting hazards in all areas of the company. This is something amazing, and we are especially pleased that it happened naturally, with employees being enthusiastic about the application.

There are many robust solutions available on the market. What led you to choose applications from Evenaut?

We use the Microsoft environment in our company, so we were looking for someone who could build an application utilizing it. Evenaut delivered perfectly. Gemba works reliably in this environment, and the transition to a digital solution for HSE processes has been much smoother for us because we work with Microsoft daily.

What were your first impressions after implementing these applications into your daily operations?

The excellent feedback from users confirms that we made the right decision. A clear sign of success is the increased number of reported hazards and the higher level of employee engagement in the process. For us, this solution offers a wide range of benefits.

You have been using applications built on the Microsoft platform for several years. How would you rate this tool in terms of user-friendliness and efficiency?

The tool is simple and user-friendly. Whenever we encountered a problem, Evenaut provided quick assistance, ensuring there were no long application outages. We are very satisfied with both the tool and the support service.

Could you provide us with specific examples of savings or improvements that you have observed since the implementation of the DRS and Gemba applications?

As already mentioned, employee involvement in hazard reporting, the reduction in printed paperwork, transparency in following established rules, and clear statistics have significantly simplified and accelerated our processes. Additionally, there has been a reduction in the number of injuries and a strengthening of the safety culture within the company. Overall, many of our processes have become more efficient.
